If your business has one or two people managing prospects, HubSpot may be the simpler first shortlist. If a third teammate needs their own CRM login, Zoho deserves a closer look: its documentation describes a free edition for up to three users, while HubSpot currently lists a maximum of two users on its free tools. That difference is useful, but it does not decide which CRM will fit your process.
This is a documentation-based comparison, not a hands-on product test. Plan packaging changes. Treat the limits below as a snapshot checked September 28, 2026, and confirm the live terms for your account before importing customer data or committing to a workflow.
The short answer by situation
- Solo operator or two-person team: compare both products against the exact contact and deal process you use. HubSpot’s current product pages advertise a no-expiration free tier and list up to two users; the free-tools page also says up to 1,000 contacts. Check what “contact” means for your use and what happens when you reach the cap.
- Three users who all need CRM access: Zoho’s free edition is the more relevant starting point on the user-count criterion alone. Its edition guide says the free edition supports up to three users with basic CRM functionality. Check the edition comparison for the modules, automation, storage, and other limits your workflow needs.
- A growing team or a process that depends on paid features: compare the actual total quote and upgrade point, not a headline starting price. Include seats, required edition, billing interval, add-ons, migration effort, and the cost of adjacent tools.
These are conditional recommendations based on published plan information. They are not a claim that either interface is easier or that one produces better sales results.

HubSpot’s official free CRM page describes contact management, deals, tasks, CRM import, and other tools. Its free-tools plan details currently list up to two users and 1,000 contacts. Zoho’s US edition and pricing page currently lists Free for up to three users and names contact management, follow-up reminders, workflow automation, tasks, meetings and calls, standard reports, and import/export among the features. It also publishes limits for some features, such as export frequency and API calls; confirm the exact current limits and what counts before relying on them. These are vendor statements, not independent performance findings.
Pick by workflow, not brand familiarity
Write one example from inquiry to next action: a homeowner asks for an estimate, a staff member qualifies the request, and someone follows up after the estimate is sent. Then check whether the CRM can represent the information and handoffs without a web of workarounds.
Start with five questions:
- What is the first record: a lead, a contact, a company, or a deal?
- Who owns the record and the next action?
- What stages describe observable progress rather than vague labels?
- Which emails, notes, calls, or files must stay attached to the record?
- What should happen when a customer replies, declines, or asks not to be contacted?
Try that small workflow with non-sensitive sample data in each candidate. Record where you needed an extra field, a manual copy, an upgraded plan, or an external integration. Do not import the entire customer list until the fields, access, duplicate handling, and export path are understood.
Estimate the upgrade point before you depend on a free plan
Free plans can be useful evaluation environments, but a limit may become a business constraint. Write down the number of active users and records today, expected growth, and every feature that is a must-have. For each item, capture the official documentation URL, the plan in which it appears, and the date checked.
Then price a realistic next step. If a third user is essential, HubSpot’s published two-user free limit may mean an upgrade; if an automation or reporting feature is essential, Zoho’s three-user allowance alone does not prove it is included in Free. Compare the full quote, not just a monthly “starts at” figure. Promotions and packages can change, and a feature may belong to a different Hub or edition.
Keep customer data portable
Before choosing, identify the fields and related records you would need to take with you. HubSpot’s import documentation explains file mapping and relationships between records. Zoho’s export guide describes module exports, selected-record exports, and export history. Those pages document particular product workflows; they are not a guarantee that every object, file, or relationship transfers cleanly between vendors.
Keep a field map, test with a small sample, and preserve an unmodified source file. Treat exported customer information as sensitive: restrict access, store it appropriately, and follow the rules that apply to your business and the people whose information you hold.
A practical decision
Shortlist HubSpot if its current free limits fit your user count and contact volume, and the required deal and follow-up workflow is present in the plan you intend to use. Shortlist Zoho if three CRM users matter and the current Free edition covers the exact modules and process you need. If neither covers a non-negotiable requirement, evaluate paid editions using a written annual cost and a small workflow trial.
